How we work

There is method in our creative madness! This step-by-step guide will help you understand the key stages of the event production timeline. Large-scale events take a lot of organisation and a small army of people to give to the fore but we dissect the process in the manageable segments which helps our client plan and budget without any last minute stresses.

Our aim is to make your whole experience with Festival in a Box as smooth and enjoyable as possible.

  • STEP ONE

    First off, we’ll need to spend some time with you to hear your ideas. Let your imagination run riot or let us inspire you – or both! Take a look at our case studies for some inspiration. We’ll need to visit your venue, or if you haven’t found a suitable location then we can help you find one.

  • STEP TWO

    After we have met, we’ll form a plan to turn your vision into reality. We'll put together detailed designs, plans and an event schedule so you know exactly what you're getting and when you're getting it.

  • STEP THREE

    We’ll work with you to cover every aspect of your event, whether it’s one special evening or a whole weekend extravaganza. Depending on the size of the event, we'll start the 'build' two or three days before. We'll manage suppliers to ensure the set runs smoothly and efficiently - and we'll keep you updated at every point.

  • STEP FOUR

    When the big day comes, we’ll be there to ensure that everything goes to plan. You can concentrate on enjoying the event.

  • STEP FIVE

    When the event comes to an end and your guests have left, leaving thoroughly partied-out, we'll be at hand to de-rig, de-clutter and restore your event space to its original state. We pack everything back up into our festival box for another day.

  • What will I need to do?

    As much or as little as you like, but only ever the fun stuff! When we meet, we'll talk through creative thoughts and inspirations. If you have lots of ideas we can weave those elements into the festival, or suggest elements to work in harmony with your ideas. We can then take care of everything else from professional event management before and during the event, through to carrying out the all-important post-party clear up, returning your site to you as good as new.

  • What if people want to stay over?

    You can certainly have a full camping festival. We have lots of suggestions for different styles of accommodation, from luxury bell tents, tipis and yurts to gypsy caravans, airstreams or super luxury winnebagos. We can provide hot showers and posh loos, reception staff, bottled water and all the added extras to make everyone’s stay super comfortable.

  • How many people can I invite?

    We can create intimate packages for as little as 50 to 100 guests, or host larger parties of 400 or more. Anything is possible.

  • What about my neighbours?

    We wouldn’t recommend a festival-style event at your home if you have close neighbours who are not invited. Live music can be loud outside and travel quite far. We are very happy to come and view your site to help make the decision with you about where to host your event.

  • What will I need to provide?

    We can bring everything to your site, including the electricity. The only thing we might need is a water supply but we can advise on this during an initial site visit. Your venue will need to have flat land with appropriate access – but again we can advise on this.

  • Which elements can I choose?

    It’s your event and so you should choose the style and themes. We have heaps of options and these are constantly evolving. Structures – we can talk through the best option for your party. Beautiful circus style big tops, giant tipis, saddlespan tents, stretch canopies and vintage marquees and many more. Decoration – we design and supply stunning decoration such as silk festival flags, tailored signs, entrance arches and secret spaces. Music – We have access to all sorts of music ideas and if you have a wish list, we can help to book and advise on what will work at your festival. Entertainment – Yes, all of it! We love to experience new and eccentric festival entertainment so have lots of ideas we can go through with you. Food – We have a huge list of food and caterers from quirky festival food stalls and street food vans to teams who can put on a grand festival banquet. Bars – Our bars are always carefully considered and an important part of the festival. We can go through your requirements and suggest options.

  • What about the food?

    It’s your choice. From simple festival favourites to gourmet feasts. Get in touch and together we’ll come up with the perfect catering for your event.

  • Can you arrange transport?

    Yes, we can arrange everything from simple shuttle services, to and from your nearest station, right through to coordinating and booking international flights for your overseas guests.

  • What about the weather?

    We plan our events carefully and always have it in the back of our minds that the weather may not be kind. We have contingency and back up plans that we will discuss with you as we formulate your event.

  • We'd like our own festival website. Can you help?

    We can design a website for your event. Having all the information in one place is a great way to keep the party admin at a manageable level. We can manage your guest list, announce your line-up and offer a place for your guests to upload their photos after the event too.

  • I have some ideas. Can we work together?

    We will help you rather than dictate to you. This is your event and should be exactly what you want it to be.

  • What do I do next?
